Webmail Tutorial - Address Book

The address book can be a great time saving feature. You'll want to store email addresses that you use frequently or addresses that you have a hard time remembering.

Adding Entries to the Address Book

When you first open the address book it will be empty. Begin by adding new entries:

  • Nickname – This should be a unique name that will give you an accurate idea of whom this email belongs to. You cannot use spaces in the Nickname field.
  • E-mail address – Enter the email address you would like to save. You must enter the full email address. If it is not correct, you are likely to get your mail returned in the form of a bounced message.
  • First and Last Name – You must enter a name in at least one of the name fields. This can be the same thing you entered for the Nickname.
  • Additional Info – This is just another field to enter information about this entry. For instance you could enter their phone number or other personal information. It is not necessary to enter information into this field.

Once you enter the Nickname, First and/or Last Name, and email address, click the Add address button. You should now see the information you entered in a small table near the top of the screen. Enter as many contacts as you would like – you will be able to access them every time you use webmail.

To make changes to an entry, click the check box next to the name and click the Edit Selected button. Note: This will not work if more than one box is checked. Make the changes then click the Update Address button.

To delete addresses, put a check mark in all the addresses you wish to remove, then click the Delete Selected button. Caution: Deleted addresses CANNOT be recovered!!!

Using the Address Book

Using the address book once you have it setup is simple. There are two different versions of the Address book: JavaScript and HTML. Don't worry, they're both simple to use and you have the choice to use either. The HTML version is best if you are using older web browsers, like Netscape 3 or Internet Explorer 3 – It will still work with newer browsers, too. The JavaScript version has the same functions, but it will pop up in its own window. You'll need to be using Netscape or Internet Explorer 4.0 or higher to use the JavaScript version.

Not sure which Address Book you're using? Webmail uses the HTML version by default, but to check your settings:

1. Click the Options menu at the top of the screen. Then choose Display Preferences.

2. Look for Address book Display Format – it should be set to either HTML or JavaScript.

Using the HTML Address book

Webmail is set to use the HTML address book by default. On the compose message screen, click the Addresses button to access the Address book. You'll be taken to another page with a list of all the addresses in your address book. Next to each listing are 3 check boxes: To, Cc, and Bcc. Check the To, Cc, or Bcc of the addresses you want to add to your message. If you have a long list of addresses and can't find a listing, you can search for it by entering all or part of the Nickname, First or Last name, or email address into the Search for box. When you are done checking boxes, click the Use Addresses button. The addresses you have chosen will be in the appropriate fields in your message now.

Using the JavaScript Address Book

If you have setup webmail to use the JavaScript Address book, you will access it in the same way as the HTML address book: Compose a message and click the Addresses button. Your Address book will pop up in a new window. Links for To, Cc, and Bcc will be to the left of the listings, and the email addresses will be links as well. Clicking an email address will enter it into the To field and close the Address book – this method is best if you are only sending to one person in your address book. To choose multiple addresses, click the To, Cc, or Bcc links next to them. You may not see it immediately, but the addresses are being added to your message in the fields you choose. If you have a long list of addresses and can't find a listing, you can search for it by entering all or part of the Nickname, First or Lane name, or email address into the Search for box. Click List all to go back to the full list of addresses. Click Close to return to the message to finish composing.
